Roles and permissions

What Owners, Admins, Editors, and Viewers can each do.

On a Team plan, every member has a role. The role sets what they can be given — and the Owner can then switch individual permissions off for that person.

Narrowing a role. The ticks above are the defaults. When you add someone — or open an existing member from the Team panel — you pick a role and then see its full permission list, every box ticked. Untick anything you don't want them to have. You can only take permissions away, never add ones the role doesn't include: to give an Editor library access, make them an Admin and untick what they shouldn't have instead. A member whose list has been trimmed shows as e.g. Editor · custom.

A Viewer can't change tags: they search the shared index, share files, and keep collections of their own. If you can't tag — whether because you're a Viewer or because tagging was unticked for you — the Tagging tab is hidden and a View-only chip appears in the header.

Collections are private to whoever creates them: your teammates never see yours, and you never see theirs.

On Free and Individual plans there's only one person (you, as Owner), so roles don't come into play until you're on a Team plan with teammates.
